Tips to assist you in efficiently managing your mailbox
Even though Hetzner offers a generous disk space quota, good mailbox management only adds to your efficiency and peace of mind. Make a habit of cleaning out your mailbox on a regular basis by following these simple tips:
Delete emails from your inbox: when you delete messages, they are moved to the Deleted Items folder but are still included in your total mailbox allocation. Empty this folder regularly or set your mailbox to automatically remove deleted items. You should also regularly empty your Junk Email folders.
Regularly check your catch-all mail box: it may be that the email catch-all is not checked regularly, with email accumulating over time. Turn the catch-all off if that is the case. (Click on the following link to read more on a catch-all email account: Support Centre)
Save attachments to your emails: to quickly generate extra space, you can save email attachments to your Personal folders and remove the email from your Inbox.
Regularly check your Spam Bucket: all mail is filtered for Spam. Once identified, Spam is sent directly to your Spam Bucket which is accessible via WebMail. Your Spam Bucket is cleared every two weeks. It may be that you wish to clear your Spam Bucket more regularly. If so, it is always a good idea to check for false positives.
Empty your Sent Items folder: every time you send an email, a copy is stored in the Sent Items folder. This could grow to become quite large over a period of time. Regularly check and delete items that you no longer need to keep in this folder, especially if you have sent large emails to multiple recipients.
Save old emails to a CD: If you need to keep specific emails for a long time, you can save them to a CD.
Following these simple steps will help you keep your mailbox to a manageable size and will cut down on the time taken to search for an important mail that you’ve ‘filed’ away.
